Autovena is business software used by workshops. An Autovena workspace belongs to a workshop, and the workshop's owner or administrator manages the user accounts inside it. That is why deletion works at two levels.
1. Two kinds of deletion
- Removing one user — a single staff member's account is removed, while the workshop keeps working. An owner or administrator can do this directly in the app.
- Deleting the whole account — the workshop's entire workspace and all of its records are permanently deleted. This is requested by email, because it is irreversible and affects everyone in the workshop.
2. Removing a single user in the app
If you only want to remove one person's access:
- Sign in to Autovena as an owner or administrator.
- Open User Management.
- Select the user and delete them.
Their login is revoked immediately and their sessions end. Work records they created stay in the workshop's history, because the workshop needs them for its own accounting and service history.
If you are a staff member and cannot reach your administrator, email us and we will help.
3. Requesting full account deletion
Send an email to [email protected] with the subject "Account deletion request" and include:
- the email address you use to sign in to Autovena;
- your workshop / company name as it appears in the app;
- whether you want the entire workspace deleted, or only your own user account.
Please send the request from the email address registered on the account. Requests for a full workspace deletion must come from the account owner or an administrator.
4. How we verify your request
Deletion is permanent, so we confirm that the request is genuine before acting. We reply from [email protected] asking you to confirm, and we may ask for additional information to establish that you are the account owner. We never ask for your password.
5. How long it takes
- We acknowledge your request within 3 business days.
- Once confirmed, the account is deleted within 30 days.
- Encrypted backups are rotated out within 90 days of deletion, after which no copy remains.
We email you when deletion is complete.
6. What gets deleted
Deleting a workspace permanently removes:
- user accounts, names, email addresses, phone numbers and profile photos;
- customer and vehicle records, including licence plates and VINs;
- work orders, service visits, notes, appointments and reminders;
- inventory, parts, stock movements, suppliers and purchase orders;
- invoices, payments and current account balances, subject to section 7;
- active sessions and stored device credentials;
- support tickets and their attachments.
Photographs of vehicle registration documents are never part of this, because they are already deleted from our servers immediately after being scanned — see the Privacy Policy.
7. What we must keep
A small amount of data survives deletion because the law requires it or because we need it to defend legal claims:
- Invoicing and accounting records, for the retention periods set by tax and commercial law.
- Security and audit logs, for a limited period, to investigate abuse and security incidents.
- A record of your deletion request itself, so we can demonstrate that we handled it.
This data is kept only for as long as the relevant obligation lasts, is not used for any other purpose, and is then deleted or anonymised.
8. Getting a copy first
Deletion cannot be undone. If you want a copy of your data, ask for an export in the same email before confirming the deletion, and we will provide it in a structured, machine-readable format.
9. Uninstalling the app
Removing the Autovena app from a device signs you out and deletes the credentials stored on that device, but it does not delete your account or your data from our servers. Use the steps above if you want the account itself removed.
